Our Client

Our Client is a German healthcare procurement group developing its operations in Poland.

The organisation supports hospitals and healthcare providers in improving procurement effectiveness through a combination of procurement expertise, supplier management, tender execution, data and analytical capabilities.

The Polish business is currently in a development phase and works closely with the Group organisation in Germany. The local team is responsible for Polish market relationships and execution, while the Group provides procurement methodology, technology, expertise and scalable infrastructure.

The organisation already works with an extensive network of international MedTech and pharmaceutical suppliers. In Poland, the local supplier portfolio and procurement structures are being further developed, creating an opportunity for the new person to contribute not only to tender execution but also to the development of the local procurement model.

Position Overview

We are looking for an experienced procurement professional who combines strong practical knowledge of public procurement and tender procedures with an understanding of the healthcare / medical market and very good business English.

The role will focus on procurement projects conducted for healthcare organisations, particularly public hospitals. The person will work closely with hospital stakeholders to understand purchasing requirements and product specifications, structure and conduct tender and RFQ processes, cooperate with medical suppliers, analyse commercial proposals, lead negotiations and provide input into contracting.

During the first phase of the Polish business, the role will have a particularly strong focus on tender execution and sourcing. Over time, the scope is expected to broaden towards strategic procurement, supplier portfolio development and category management.

The position offers the opportunity to join a business at an early stage of its development in Poland and contribute to shaping the local procurement model rather than stepping into a fully established structure.

Key Responsibilities

Public procurement & tender management

• Manage and coordinate procurement and tender processes for healthcare clients.
• Translate hospital requirements into structured procurement and tender documentation.
• Support the preparation of product specifications and requirements for medical categories.
• Conduct RFQ and tender processes in cooperation with suppliers.
• Ensure that procurement activities are performed in line with applicable public procurement requirements, internal standards and compliance principles.
• Analyse tender documentation, supplier submissions and commercial conditions.
• Cooperate with relevant internal and external experts on public procurement and contractual matters.

Sourcing & supplier management

• Work with existing international and Polish suppliers from the MedTech, Pharma and healthcare sectors.
• Conduct supplier-market analysis and identify additional sourcing opportunities.
• Evaluate supplier capabilities, pricing and commercial conditions.
• Lead commercial negotiations with suppliers, including pricing, commercial terms and framework cooperation arrangements, and contribute to contractual recommendations.
• Build and develop effective professional relationships with medical suppliers and distributors.
• Support the development of the local supplier portfolio in Poland.

Strategic procurement & category development

• Support the development of procurement strategies for selected medical categories.
• Analyse market structures, supplier portfolios, pricing and sourcing alternatives.
• Identify opportunities for commercial optimisation and supplier consolidation.
• Contribute to the development of category and supplier strategies as the Polish procurement organisation grows.
• Prepare procurement analyses and recommendations for management and healthcare partners.

Stakeholder cooperation

• Work closely with public hospitals and other healthcare organisations.
• Cooperate with international suppliers and the Group procurement organisation.
• Build effective relationships with hospital procurement teams, pharmacy departments and other relevant stakeholders.
• Communicate procurement recommendations clearly to both procurement and non-procurement stakeholders.
• Contribute to the development of procurement processes and ways of working within the Polish organisation.

Qualifications & Profile

Experience

• Minimum 5 years of relevant professional experience in procurement, public procurement, tender management, healthcare procurement consulting or a closely related area.
• Strong hands-on experience with public procurement procedures and tenders.
• Experience within healthcare, hospitals, MedTech, pharmaceuticals, medical distribution, life sciences or procurement advisory for healthcare organisations.
• Practical understanding of how public hospitals purchase medical products and services.
• Experience working with medical categories, for example medical consumables, equipment, pharmaceuticals or related healthcare products.
• Experience in supplier negotiations and commercial discussions.

Relevant backgrounds may include:

• procurement / public procurement functions within public hospitals or other healthcare organisations,
• healthcare purchasing organisations, shared procurement structures or purchasing groups,
• procurement consulting or advisory organisations delivering sourcing, tender or procurement projects for hospitals and healthcare providers,
• MedTech, pharmaceutical or life-sciences companies with substantial public-tender exposure,
• medical distributors where the candidate has strong hands-on experience with public procurement and hospital tender processes.

Public procurement expertise

We are particularly interested in candidates who have practical experience with areas such as:

• public tender procedures,
• SWZ / OPZ and tender documentation,
• cooperation with internal subject-matter experts,
• public procurement compliance,
• supplier clarification processes,
• BZP / TED environment,
• contractual and commercial aspects of public procurement.

Formal legal expertise is not required; however, candidates must understand the practical mechanics of public procurement in the Polish healthcare environment.

• Polish - native.
• English - very good business level, enabling confident communication with international suppliers and colleagues, participation in meetings and negotiations, and preparation of business documentation.
